$38 – $46 per hour (depending on experience) plus incentive compensation

We are looking for an experienced, detail-oriented part-time Payroll, Benefits and HRIS Administrator to support payroll, benefits administration, and related employee lifecycle processes. This role is well-suited to someone who enjoys accurate, deadline-driven work and is comfortable handling confidential employee information with care and discretion. The successful candidate will ensure payroll is processed accurately and on time, employee benefit changes are administered properly, and employee questions are handled professionally.

Here’s what you will do as Payroll, Benefits and HRIS Administrator:


Payroll Administration
  • Coordinate and support regular payroll processing for employees in Ontario and other applicable Canadian jurisdictions.
  • Maintain accurate employee payroll records, including new hires, terminations, salary changes, bonuses, deductions, taxable benefits, and leaves.
  • Review payroll inputs for accuracy and completeness before submission.
  • Liaise with payroll providers and internal stakeholders to resolve payroll questions or discrepancies.
  • Support payroll compliance activities, including statutory deductions, remittances, Records of Employment, taxable benefits, year-end reporting, and other payroll-related legislative requirements. Support year-end payroll activities, including T4 preparation and related reporting.
  • Maintain organized payroll documentation and audit-ready records in accordance with company policies and applicable legal requirements.
Benefits Administration
  • Coordinate employee enrolments, changes, and terminations for group benefits and related programs.
  • Act as a point of contact for employee questions about benefits administration, eligibility, and process.
  • Liaise with benefit providers, brokers, and internal stakeholders as needed.
  • Support benefits invoice review and reconciliation.
  • Support administration of other employee benefit programs (i.e. retirement savings, wellness, leave, etc.)
  • Assist with benefits renewals, employee communications, and coordination of provider updates. Maintain accurate benefits records and ensure timely processing of employee changes.
HRIS, Data Management and Employee Lifecycle Support
  • Coordinate the flow of employee information between the Company’s HRIS (Collage HR) and Hamilton ETFs’ payroll and benefits providers to ensure employee data is accurate, complete, and updated on a timely basis.
  • Maintain accurate employee records in HRIS, payroll and benefits systems, including new hires, terminations, compensation changes, benefit enrolments, employee status changes, and other payroll, employment or benefits-related updates.
  • Monitor and reconcile information between the HRIS and external payroll and benefits platforms, identifying and resolving discrepancies as needed.
  • Liaise with provider support teams to troubleshoot system, data, or process issues.
  • Support improvements to HRIS workflows, data integrity, integrations, and payroll and benefits processes, including documentation and internal controls.
  • Support onboarding, offboarding, and employee status changes by ensuring timely and accurate completion of payroll, benefits, HRIS, and employment documentation.
  • Track and reconcile vacation, leaves of absence, and other employee time-off or status changes across HRIS, payroll, and benefits systems.
  • Handle confidential employee information with professionalism and discretion.
Other
  • Support payroll and HR data analysis to ensure consistency, accuracy, and alignment with payroll records and established job rates.
  • Coordinate participation in external compensation and benefits benchmarking surveys by gathering and validating payroll and employee data, ensuring accurate submission and preparing summary reports of findings to support payroll and HR planning activities.
  • Provide ad hoc reporting and data analysis across payroll, benefits, and HRIS systems to support internal and external audits, compliance requirements, leadership decision-making, and internal HR initiatives, including responding to time-sensitive research requests and generating customized reports as needed.
  • Special projects as assigned for the overall benefit of Hamilton ETFs.

Here’s what you’ll need to be successful:

Education & Experience
  • Post secondary diploma in payroll, business administration, accounting, human resources or a related field and Payroll Compliance Practitioner (PCP) certification in good standing.
  • 5+ years of relevant experience administering Canadian payroll and benefits.
  • Experience with payroll, HRIS, and benefits administration systems such as ADP TeamPay, ADP Workforce Now, Dayforce, Collage HR, Employment Hero or similar platforms required.
  • Strong working knowledge of payroll practices, employment standards, statutory deductions, taxable benefits, and year-end payroll processes.
  • Experience with retirement savings programs administration an asset.
Technical & Core Skills
  • Strong ability to investigate and resolve payroll and benefits discrepancies and employee inquiries by analyzing data, identifying root causes, and implementing timely, accurate solutions while ensuring compliance and a positive employee experience.
  • Strong communication skills and a professional, service-oriented approach to employee questions.
  • High attention to detail and accuracy.
  • Solid organizational and time management skills.
  • Ability to manage recurring deadlines and handle time-sensitive work accurately.
